Kenyon College is conducting a search for a qualified candidate to fill the position of Kenyon Review Programs Assistant. Reporting to the Director of Youth Programming and the Associate Director of Programs, the Programs Assistant provides administrative support for all Writers Workshop and Young Writers programs. This position is part-time, without benefits, and will work a flexible schedule within regular business hours, Monday through Friday for a total of 15-19 hours per week. In-person or hybrid work is preferred, but this position is also open to qualified remote workers. The Programs Assistant may be required to come to campus to assist with in-person tasks when programs are running in the summer. The hourly rate of pay is $18.00 per hour.
Essential Duties
-Manage Writers Workshop and Young Writers emails and phone calls, answering questions and/or directing inquiries to the appropriate resources.
-Process applications and enrollments.
-Manage and update workshop databases.
-Prepare and process staff contracts, hiring paperwork, and program invoices.
-Create payment orders and process workshop staff payments.
-Assist with mailings and promotions.
-Create and update program paperwork and materials.
-Order and maintain an inventory of necessary program materials and supplies.
-Coordinate with other Kenyon College offices and outside vendors to secure necessary facilities, supplies, and services.
-Provide other administrative support for Kenyon Review programs staff as needed.
Residential Program Duties
-Coordinate transportation and airport shuttles.
-Help create and distribute workshop materials.
-May assist with special functions and events, including catered meals, readings, and receptions.
-May run errands on campus and around town, both on foot and in a Kenyon vehicle.
-Assist with other staff and participant needs as necessary.
Online Program Duties
-Help create, maintain, and distribute digital workshop materials.
-Manage workshop zoom accounts, including creating instructor accounts, creating meetings and events, and distributing necessary links and passwords to staff and participants.
-Provide technical support for staff and participants.
Minimum Qualifications
-Two to four years of professional office experience.
-Strong written and verbal communication skills.
-Excellent organizational habits and strong attention to detail.
-Experience in entering, maintaining, and reviewing data.
-Strong proficiency with Microsoft Office, Google Suite, virtual meeting platforms (Zoom, GoogleMeet), reservation systems, and data management systems (FileMaker Pro experience is a plus), plus a willingness to learn new programs; FileMaker Pro experience is a plus.
-High ethical standards and discretion in dealing with confidential information.
-Current valid driver’s license, eligible and willing to become a certified Kenyon driver, and insurable under Kenyon’s liability policy.
-Must possess a professional and friendly demeanor and be able to work independently.
-Must be flexible and able to react calmly, quickly and efficiently to any issues that arise.
