The University seeks a full-time, 11-month, Facilities Administrative Assistant and Motor Pool Coordinator for its Facilities Services Department on the Mount Vernon main campus. The position reports to the Assistant Director of Facilities and is available immediately, upon appointment of a successful candidate. The University pay grade for this position is “C”, with a starting rate of $12.78 an hour which may be adjusted based on qualifications and experience. A full complement of benefits are provided including a health care plan, vacation, sick leave, retirement contributions and tuition assistance, each subject to associated waiting periods. The candidate will also receive generous holidays, and vacation and sick days earned on an accrual basis.

 Responsibilities for this position include:

· Be the first point of contact for Facility Services

· Check voicemail, email, and faxes

· Schedules calendars, assists in correspondence and provides other administrative support for Director and Assistant Directors

· Assign all work orders that come in from JIRA, fulfill JIRA phone requests in system

· Maintains purchase orders, work orders, contracts, invoices and receipts

· Work with the athletic coaches, faculty, and staff members to schedule trips, assign drivers, confirm all bus trips, and calculate bus driver hours for trips that are within legal limits

· Schedule/notify all bus drivers for annual physicals

· Calculate and submit bus drivers’ pay requests to the payroll department

· Coordinate van usage and process payments for all vendor rental vans and cars

· Coordinate service work, licensing, permits, inspections, and insurance to be done on MVNU campus vehicles and buses

· Perform the MVNU certified driver testing – verify employees and students are certified upon renting

· Prepares purchase requisitions for department and campus

· Communicates with vendors and contractors

· Work with campus customer and departmental staff to complete minor projects

· Other duties as assigned

Expectations for the successful candidate:

· Bachelor’s Degree or equivalent work experience

· Experience with Microsoft Office and with office equipment (printers, copiers, etc.) preferred

· Evangelical Christian statement of faith, experience and mission fit

· Excellent face-to-face and phone customer service skills

· Ability to multi-task, while being detail-oriented

· Ability to work independently and in a team

· Basic mathematical and strong typing skills

· Ability to compose clear, professional letters, emails, and announcements

· Must be capable of sitting, walking or standing for long periods of time

· Must have a clean driving record and be certified to drive University vehicles

· Must be capable of lifting up to 50 pounds
