Details for Administrative Secretary to the Dean of the School of Arts and Humanities and to the Education Department

The University seeks a full-time, 10-month, Administrative Secretary to the Dean of the School of Arts and Humanities (SAH) and to the Education Department on the Mount Vernon main campus. The position reports to the Dean of the School of Arts and Humanities and the Chair of the Education Department and is available immediately upon appointment of a successful candidate. The University position classification is B, with a starting rate of $10.23, which may be adjusted based on qualifications and experience. A full complement of benefits is provided, including a health care plan, retirement contributions, and tuition assistance, each subject to associated waiting periods. The candidate will also receive generous holidays, and vacation and sick days earned on an accrual basis. 

Responsibilities for this position include: 

  • Manage communication (telephone, written mail, and in person) for each department (Art and Humanities, English and History, Communication, Honors Program) and the Dean of SAH
  • Manage calendar and appointments, as well as travel arrangements
  • Assist with meeting prep and minutes for department chairs meetings, school meetings, and Title IX
  • Receive and process requests for signatures (e.g., purchase requests, absence requests, course substitution forms).
  • Track expenditures
  • Process student forms: Directed Studies, Independent Studies, off-campus travel
  • Process mileage forms, reimbursements to faculty
  • Reconcile monthly credit card charges
  • Research projects and reporting as assigned
  • Collect and post course syllabi
  • Collect and send to Registrar’s Office course grades and attendance at the end of each semester
  • Code awards each spring, and coordinate the awards chapel
  • Maintain adequate supplies, including paper, paper products, copier and printer cartridges, business cards, letterhead, envelopes, keys and additional materials needed by professors for use in the classroom
  • Supervise work study candidates and student departmental assistants
  • Provide support to accreditation coordinator in the Education department prior to and during campus site visit
  • Other duties as assigned 

Expectations for the successful candidate:

  • Evangelical Christian statement of faith, experience, and mission fit
  • High School Diploma required; Bachelor’s degree or certificate in secretarial science preferred
  • 2-4 years related experience preferred
  • Ability to deal pleasantly and effectively with the public
  • Ability to prioritize and handle multiple tasks, and work independently
  • Proficiency in word processing, spreadsheets, and electronic mail
  • Attention to detail and excellent proofreading skills required
  • Dress in professional manner
  • Above average judgment skills necessary
  • Ability to handle confidential information in a professional and sensitive manner
  • Willing occasionally to work at times other than 8:00 a.m.-4:30 p.m. preferred
  • Experience with mainframe database preferred
  • Ability to lift 35 pounds
